In this series, we’ll look at how a Notion consultant would plan out the first month of work with a client based on their Notion job requirements.

Job Requirements

Job Description

We’re a vacation rental company looking for someone familiar with the Notion web platform to create two working forms for guests to book our private chef and airport transfer services. The deliverable is a working form in Notion that calculates payment amounts and generates Stripe payment links probably using Zapier.

Must be familiar with Zapier or similar tools to integrate payment links, as well as Notion.

Notion Consulting Action Plan (first month)

Week 1: Project Initiation and Requirements Gathering

Day 1-2: Kickoff and Introduction

  • Introduction to the company’s team and overview of the company’s operations.
  • Discuss the company’s vision and specific goals for the Notion setup.

Day 3-4: Requirements Gathering

  • Understand the details of the private chef and airport transfer services.
  • Identify key information to be collected from guests (e.g., dates, number of guests, special requests).
  • Define the payment calculation logic (e.g., rates, taxes, service fees).

Day 5: Tool Familiarization and Initial Planning

  • Review current Notion setup and any existing forms or databases.
  • Familiarize with the company’s Stripe account and payment structure.
  • Outline the integration flow between Notion, Zapier, and Stripe.

Week 2: Design and Prototyping

Day 6-7: Form Design

  • Design the layout of the booking forms in Notion, focusing on user experience.
  • Ensure forms are intuitive and guide the user through the booking process.

Day 8-10: Prototype Development

  • Create a basic prototype of the forms in Notion.
  • Develop a simple Zapier workflow to test the connection between Notion, Zapier, and a dummy Stripe account.

Week 3: Development and Testing

Day 11-13: Form Development

  • Finalize the forms based on the prototypes, incorporating any feedback.
  • Implement the payment calculation logic within the forms.

Day 14-16: Integration Setup

  • Set up the Zapier workflows to connect Notion forms with Stripe, ensuring that payment amounts are correctly passed and Stripe payment links are generated.

Day 17-19: Testing

  • Conduct thorough testing of the forms and payment integration in a controlled environment.
  • Test different scenarios (e.g., different dates, number of guests, special requests) to ensure accuracy and reliability.

Week 4: Deployment, Training, and Documentation

Day 20-21: Deployment

  • Deploy the forms and integration in the live Notion environment.
  • Monitor the live deployment for any immediate issues.

Day 22-24: Staff Training

  • Train key company staff on how to use the new Notion forms and manage bookings.
  • Provide guidance on troubleshooting common issues and making minor adjustments to the forms or Zapier workflows.

Day 25-26: Documentation

  • Create detailed documentation covering the form functionality, integration flow, and step-by-step troubleshooting guides.

Day 27-28: Review and Feedback

  • Review the project with the company’s team to gather feedback and identify any areas for improvement.
  • Discuss potential additional features or enhancements based on initial user feedback.

Day 29-30: Final Adjustments and Project Wrap-up

  • Implement any final adjustments based on feedback.
  • Provide a summary of the work done, including all documentation, and discuss ongoing support or maintenance needs.

This outline ensures that the consultant covers all necessary steps from understanding the company’s needs to deploying a fully functional and tested solution, along with training and documentation to ensure smooth operation and adoption by the company.
